Windows+LLock your screen

Check the save status before closing a file. Locking the screen does not save your work.

Before sending an email

  1. Check every recipient.
  2. Use a clear subject.
  3. State the purpose and requested action.
  4. Check links and attachments.
  5. Use Reply all only when everyone needs the answer.

Pause before acting on an unexpected request. Verify through a known route.

Before sharing a file

  1. Find the current shared original.
  2. Check its approved saved location.
  3. Select Share and check who gets access.
  4. Choose view or edit access for the task.
  5. Send the link to the intended person.

If access fails, check permissions. Do not make the link public to solve the error.

Protect your documents

  • Use heading styles in Word.
  • Check a PDF after creating it.
  • Keep complete rows together when sorting Excel data.
  • Check filters before assuming rows are missing.
  • Check formula ranges and results.
  • Inspect version history before restoring a shared file.

Example: =SUM(B2:B4) adds cells B2 through B4.

Check every Copilot answer

  1. Use the approved work service.
  2. Use only information permitted by local rules.
  3. State the task, context and required format.
  4. Ask for placeholders when facts are missing.
  5. Check facts, dates, calculations and sources.

Practice prompt: “Draft an Oakbridge Pensions staff briefing email in plain English. Use placeholders for the date, time and room.”

Stop, check, ask. If something is unclear, use your approved IT or policy support route. Do not move work to a personal account.
